Work orders works well on mobile app.

We began using Upkeep in 2021 at the start up of our new company. Our asset list includes over 300 units, 165 of them needing regular preventative maintenance. From the beginning, the approximate monthly user license fee near $100 seemed high, but not for a system that was sold to us as an all-encompassing platform. As it turns out, Upkeep fell far short of that level. We began using Upkeep prior to the preventative maintenance module roll out they use now, and right away we found that recurring work orders were not populating correctly, most notably re-using work order numbers (which should be unique), and not populating at the correct time. This was mostly solved when the PM roll out took place in 2022, but the amount of labor time on our end to correct this recurring work order problem was excessive to say the least. Tech support was very limited, in that they were only able to train in how to use the new module. It didn’t help that when they migrated away from recurring work orders to PM, the functionality ceased on all our existing work orders. Many of our assets had several months of missed maintenance due to this as we frantically tried to catch up. The PM module still took over a year to establish a working capability, with many bugs found and long delays for fixes. The work order function still worked very well, especially for the technicians using the mobile app. Aside from always requiring an internet connection. It took some time, but we were able to manipulate the software to sort work orders correctly. Purchase orders and parts brought around a host of new problems. The first, and most noteworthy, is that our accounting department, who only required viewing of PO’s that are in the system, required an administrator’s license. This took one of the very expensive licenses away from a technician for a user that didn’t need full unfettered access. In addition, there were no custom security variations that wouldn’t require a full license to simply view purchase order data. Regarding purchasing, inventory control and cost appropriations, it is important to note that to change the pricing of an individual item in Upkeep, one must update the part in their parts/inventory module. There is no function in a working PO that allows for updating of current price. This has two problems. First, as prices fluctuate from vendor to vendor and day to day, an updated last cost is very important. Second, when updating the price in Upkeep’s Parts module, the cost would update all work and purchase orders from the past, thereby adjusting overall costs of every PO, some of which were not due, and making them no longer match invoices to be paid. This also brings up a purchasing question that if costs are not available to be averaged, then a buyer cannot accurately predict and anticipate cost increases and make bottom line dollar saving decisions. Among these issues with parts and POs was the fact that vendor assignments are a secondary thought, taking a distant 6th position to “PO Title”, “Description”, and “Category” among other less important references. These problems truly spoke of a company and designers that had never used a proper purchase order or items/parts inventory control system. These concerns were not rectified by the time we changed software in August 2023. I don’t want to sound completely disparaged by Upkeep. Like I said before, the work order mobile app is very easy to use, and the learning curve is very shallow. Tech support always left something to be desired as well as we were presented with “workarounds” rather than solutions on a regular basis. Our annual “check-in” was with our original salesman, who was more interested in the analytics of how we paid our bill than how the software worked. When said salesman left the company, it took nearly three months to get a new account representative. When we upgraded this year to another company (which will not be named) we got all the features of Upkeep and so much more, for half the price. I wish all the best to Upkeep and all their employees, but I would not recommend this software.

Avantages

Ease of use by technicians (mobile app), preventative maintenance scheduling was very robust.

Inconvénients

Overall sluggish UI, cloud based requirements (little to no “offline” mode), limited search parameters, limited locations and tracking, lack of aggregate or average cost on items, no PO look up in parts browser, part categories are allowed to be random, no PO dates assigned (unless manually entered and manipulated), limited purchase history, pricing updates are updated on fulfilled purchase and work orders, can only use “inventory adjustments” to remove items outside of work orders, can use the same function to add inventory without PO, lack of PO approval process for management, PO view only available on administrator level security access, lack of internal messaging system.

Great for our medium sized business!

Overall UpKeep is a great piece of software that continues to improve with regular feature updates. I would recommend it to anyone managing a medium to large sized business facility or multiple properties.

Avantages

UpKeep is a great service for managing work orders, tracking assets and scheduling your teams time. The request portal and phone app make it easy for our managers to submit maintenance requests and for our maintenance team to prioritize and respond in a timely fashion. The asset system is great for tracking parts and preventative and reactive maintenance that has been performed on individual items such as HVAC units. The Ability to upload pictures and other files such as repair manuals, to work orders and assets is also a huge plus. All around UpKeep is a great piece of software that I would recommend to anyone with a medium to large size business or anyone managing multiple properties.

Inconvénients

UpKeep offers the ability to generate PDF invoices to submit to clients however there is no way to save or return to a generated invoice within the software; once the invoice is exported as PDF and you close the window you can no longer return. I would love to see an invoicing feature that is more similar to the work order system. As a country club we not only track our internal maintenance, but maintenance performed on members golf carts and other items. The ability to generate invoices more fluidly would be much better than having to utilize an integration. I'm also disappointed that the ability to track additional costs related to a work order are only offered in the business plus plan, rather than the professional or starter plans. There are many times where I want to add an individual expense with a description attached to it, without having to input it in the parts and inventory section.

file management application

it had helped us to stop losing important files and documents

Avantages

with upkeep you can keep all document files in one central place, I like the ability to allow document uploads, and the application is user friendly

Inconvénients

using the application to upload big documents with a lot of photos takes a lot of time the expected

upkeep has made work order sharing simple

Due to work order share, it has helped us to increase on companies productivity

Avantages

I like the software, its so simple to use with a clean user interface, I like its ability to enable users to share their work order's with collogues to enable quicker completion of tasks

Inconvénients

As of now, i have nothing to dislike about the software its doing well for me, i just recommend my followers managers to try for productivity

Best management tool to have

I have been using UPKEEP for about 2 years. 8 months as the ADMIN. easy to set up, and let my team what is going on with the machines.

Avantages

This product is very easy to use and train others on how to apply it.

Inconvénients

I cant think of anything I would change.

Best overall usability

Overall, this is the best CMMS we have used. I did sample the top 10 for a year before deciding and upKeep was the best because of easy of use in the field. This software saves time by reducing paperwork and admin tasks.

Avantages

I sampled many different CMMS programs and upKeep was the only software that made the cut. This software is actually usable in the field.

Inconvénients

There are a few additional features I would like to see. I would like to be able to set exact permissions per user. the amount of administrative data available to Limited Technician renders some functionality not usable. Not everyone needs a list of all vendors and customers. There needs be a permissions checkbox to limit some access and functionality per user. Depending on how this software is used, it could cause an issue. would you want everyone in your company to have a list of our all your customers and vendors? for this reason. We avoid using some features and have not upgraded to the business package.

MicroMain was not mobile friendly. Their software created a full time position managing CMMS. UpKeep app does most of the work and cuts need of creating this position.

Food Plant Maintenance

By switching to upkeep we have been closing our more work orders, and greatly improved team communication.

Avantages

The system is so easy to use and implement then our previous CMMS system. Maintenance guys love it, and use it daily! This can't be said for most systems. The software appears to have been designed using first principles. It makes everyone's job easier instead of harder, while improving team communication and performance.

Inconvénients

The editing of reoccurring work orders (PMs) could be improved. Frequency can't be easily changed, and it would be beneficial if editing a reoccurring work order could be done in one pass.

Upkeep, what a great tool for keeping ontop of daily tasks

I am solving an issue with upkeep where in the past my technicians were just accepting any work and not concidering its priority. Upkeep has allowed me to make every job have a priority and the work can be completed in a timely and organised manner.

Away with emails, then a brief on work, then a follow up.
Upkeep is all in the one location with all the information the technicians need and they are also able to update the jobs status via the mobile app so I can see the status of the job without following up.

Avantages

What I like the most about upkeep is the way any user can send a request for work and from there on in its logged into the system and updated/catogarized/prioritized as you go.

In the past this was all via email and takings notes which gets lost and forgotten

Inconvénients

Some of the features on the mobile version had some bugs but I believe that most have been resolved now. There are still some things on the mobile app and windows version that has some issues but not a major setback.

Appropriate for Heavy Civil Construction Company

Although his product was not specifically designed for running the equipment side of a construction company, the product continually adds features to tweak the product. Other similar products made for construction are extremely costly and have a costly annual fee. They also require days of training and tens of thousands of dollars. We love how streamlined and easy Upkeep is, and anyone can access it from their phone or ipad. Laptops are not needed. Upkeep suits most of our needs and the team is willing to listen and implement features to further meet our needs. This is a key feature as far as we're concerned: the engineers are willing to listen and tweak a few features to compliment the needs of a big construction company. Other products felt old and cumbersome and Upkeep feels light and easy!

Avantages

Helps us track work orders, preventative maintenance, equipment tracking, vendors, parts inventory and more. Also helps track meter hour readings. Easy to use for all of our crews. Most importantly, Upkeep tries to add features based on our feedback. Super value and ROI for this easy to use product! Can be used from phone, tablet or computer and is graphically clean and EASY to use.

Inconvénients

Not entirely made for the needs of heavy civil construction, meters are not made available for non-administrators to enter. While everyone can request a work order, we wish there was a bit more the crew could access from a specific job site.

Using Upkeep as a Tool for Streamlining Working Assignments

Upkeep is a seamless process allowing workers such as myself to recognize when an assignment has been directed my way, to process that assignment and to indicate when the assignment has been completed.

Avantages

It instantly lets me know when an assignment has been directed my way.

Inconvénients

It does not let me know who sent the directive.

Could be Better

They say they are there to help make it easier so when I suggest changes to Upkeep to make it easier for our team it always sounds like it’s to much. I would like to add more users and have more people use Upkeep with me but if this is what I’m getting then it probably won’t happen. Looking for an alternative program that will be better for our team.

Avantages

The part tab is good, would be better being able to use it offline.

Inconvénients

I was told we would be able to operate offline by the fourth quarter of 2018 (Dec 2018) and still have not been able to do anything on upkeep without service at all. Apparently just one persons opinion doesn’t matter.

Upkeep Customer/User

Overall, Upkeep is a great tool that i have come to rely on daily for the day to day operations and maintenance of our facility. Easy to use, and customer service has always been great at responding quickly to address any issues. They are always working to improve their platform. So far it has been a great inception to our company. Looking forward to the continued use and performance of the software.

Reporting. A little cumbersome to generate specific reports. Lack of customization for manipulating report data to generate different reports.

Generally positive. It has helped me keep track of expenditure, time management and parts.

UpKeep, my digital Leatherman !

a CMMS powerful enough for the most seasoned Facility Manager, yet simple enough for the greenest technician.

Avantages

UpKeep's simple, straightforward interface hides a beast of a CMMS that could easily be dropped into any facility maintenance program within minutes. ongoing program improvements/features coupled with world class customer support in my opinion set UpKeep far above the competition.

Inconvénients

Over a year maintaining my facility with UpKeep, and have yet to come across something I didn't love.

Aside from the things that intended for it's great for keeping your memory

Keeps everybody on track and in line

Avantages

With many locations to keep track of all of our maintenance techs can see what jobs are where, the status that they are in, notes being passed back and forth to each other about the jobs and anything else you can imagine. I also love it when a client hit you up with something last minute, instead of taking notes or trying to remember you put it it up keep it it's there

There are really no downsides to this at all

Great product, great service, great price.

At a former employer, we used a similar work order system that had half the features of UpKeep, and twice the cost. I was amazed to discover how much we got for so little.

Avantages

The biggest pro is the functionality. All of our inventory, work orders, assets, schedules, and meters are all included in one app. The account setup is very flexible and affordable. Customer Support responds instantly and resolves any issue that arises, though few issues have occurred.

Inconvénients

When the product was new, there were a few issues with training staff to use it. As the product developed, it became easier for our techs to navigate. Other than initial training, we haven't had any problems.

Very helpful software

My experience with the software has been wonderful. They are constantly making improvements. recently there were major improvements to the visual layout on the mobile app and made location and asset management easier.

Avantages

Before using UpKeep i was using hand-written logs and spreadsheets to track PM's, repairs and parts usage. with UpKeep it's easy to find solutions to common problems that others experience months or years down the line by looking at an asset's work order history. parts are easily found and assigned to equipment with all information included for reordering.

Inconvénients

so far I haven't found any down-side issues. it has been a great help overall.

Organization for your maintenance

My experience with UpKeep has been very good, we have been able to organize our maintenance issues and get them addressed in a timely manner.

Avantages

This software enables our company to post maintenance issues at each individual location and organize the issues in a digital format so they get addressed in a timely manner.

Inconvénients

Sometimes the desktop version is glitch and accidentally processes before the user is done filling out the request.

A great tool for managing work orders

Avantages

I love that the software is constantly improving. It's already easy to use, but they keep improving it.

I wish the barcode scanner worked a little better for inventory management.

Give it ingredients & it makes meals!

The customer service is stellar. Everyone is very helpful and kind and I feel as though I can ask any question and they will keep working with me on getting me an answer or solution.

Avantages

One of my favorite elements of Upkeep is the somewhat recent changes to the work order page. Incredibly easy to view, organize, search and I feel like i spend less time now actually looking at Upkeep and more time moving on to the next task.

Inconvénients

I feel as though the Assets feature could use some attention. The new work orders layout and design is great, but this is leaving the Assets more reminiscent of the OLD work orders page...

Excellent program

I am able to see what jobs are coming in and being completed. Also being able to track how long certain jobs take. I find this to be a very useful tool in my line of work.

Avantages

As a facilities manager I use this software every day. It’s another tool in my toolbox. Helps me delegate jobs throughout the company and get more jobs done in a timely manner.

Inconvénients

Honestly I haven’t found anything I do not like about this system.
