Qualtrax Software Recommended for regulated industries

Our previous software system was not configurable. Personnel could not easily find the documents they were looking for. Administration personnel was limited so there was less interaction between departments. Qualtrax improved all these.

Avantages

Impactful features include:
configurable
easy to learn
help screens are awesome
customer service is amazing

Inconvénients

When there are features we would like to see added, we can place them in a portal for consideration. Support personnel are helpful in finding workarounds.

Qualsys is life-changing!

Overall, it has made an improvement and met a lot of our needs.

The most difficult part is getting end users engaged in the system.

Avantages

I love the usability of the software. It is very intuitive, and has all of the features we wanted, or didn't know we wanted!

The configurability of the system has also been a huge positive for us. With our old system we weren't able to fully configure, and the elements that we could configure required an IT administrator and/or a particular licence.

I will bullet point the rest:
Ability to link related documents
Setting review dates for documents
Dashboard
Limiting permissions/viewing ability
Ability for end users to leave feedback on documentation
Automatically PDFing documents
Embedding codes
Training/help is within the system

Overall the software is miles ahead of the others, with so many positive points!

Inconvénients

The cons:
There is not an option to select the information shown in an issue report
The forms are "fully configurable", for example some information has to be there, and it has to be at the top of the form rather than in another section
Kickstarting workflows is a little more clunky than the "pass to" function
The "if" option could have a lot more power (but I understand this is a recent development)
You can't do a blank search for all documents (filtering with topics for example)

The more you use it, the more useful it can be.

Stellar.

Avantages

We are finding new items we can document control and track in Qualtrax every day. We use it not only for ISO compliance, but Health and Safety as well. Once we complete our certification, and are a fully functioning laboratory, we may find even more uses. All of the preloaded items we found very useful and have put them into use. The training and support team have been very helpful with any questions, and the monthly meetings I've had with our [SENSITIVE CONTENT] is an unusual aspect to this company that I have found wonderful. It's nice to know they are invested in the product.

Inconvénients

I have not had any problems to date. When I had a question, the support team was able to help me within the same day.

Choose your Qualtrax Admin carefully!

Centralized, and standardized, the required controlled documents for our laboratory system, over 400 documents divided into about 10 operational divisions. The management of this system is now taking just a fraction of time that was required with our legacy system.

The developed workflows have likewise centralized, and significantly standardized, many of our quality assurance processes. It is now far more difficult for a particular incident resolution process to become "lost in the system" than before the online workflow capability was implemented.

Avantages

Extremely configurable, flexible, powerful workflows. Your realized value of the workflows will be directly proportional to the skill and dedication of the system admin(s) and the workflow designers.

Document management system is a full featured system, capable of handling both controlled and uncontrolled documents, even to mixing them within a given folder, providing for a flexible, convenient integrated document management system.

The system of user groups utilized by the package facilitates the flexible, easy management of controlling function authorization for all users, and visitors, on the system. Again, the design and implementation of the security groups, a function of the system admin(s) will have a massive influence on the functionality of this feature.

Inconvénients

Data mining capabilities are limited. Massive amounts of information can be input, but accessing the information with reporting tools, such as Crystal Reports, is not robustly supported.

Flexible, User Friendly Quality System

We have fully automated periodic review of documents and have successfully and easily integrated newly acquired sites into our Quality Management system utilizing the bulk upload and automatic approval features. We are staying compliant with competency testing through use of the training module which tracks required, completed, and incomplete training and allows expiry of training each year. Qualtrax support is always great, very response, and able to provide admin level users with great support through user forums and resource documents. We are also able to troubleshoot our own on-prem instance through access to error logs.

Avantages

The flexibility of the Qualtrax software is by far the biggest selling point. The customizable and configurable workflows have helped our organization go almost entirely paper free in our Change Control, Deviation, CAPA and A/P invoice process. We are also looking to add additional workflows in the near future for software access and Action Item tracking.

Inconvénients

There are some limitations with reporting on training matrices that are a bit frustrating as we have to manually track training curriculums.

Great EQMS for our business

Our business has rolled out 6 modules in 12 months, reached ‘self-taught’ Levels on some modules and we are now relaying on eQMS for our everyday Quality Management.

Avantages

It is quite simple to set up, and the configuration process quicken as we implemented more and more modules as they all use similar configuration files and processes.
The audit and documentation systems are particularly well designed. Issue manager took more effort to implement and can be challenging.

Inconvénients

Equipment manager lacks important features related to the standards particularly for more demanding standards such as IATF or AS.
Risk Manager is great for business risks but cannot be configured for H&S individual assessments or FMEA which I think would improve the product greatly.

The system is as good as you are creative.

Qualtrax (the company) has been nothing less than one of our top suppliers. Customer support personnel through executive management always have been available and willing to discuss accomplishments and continual improvements regarding the system. There is a constant dialog between Qualtrax and the customer regarding user experience(s).

Qualtrax (the software) is such a unique and fluid product. Allowing for compliance while having the flexibility to cater a software to our business principles is exceptional. This flexibility made the learning curve far less than it could have been. The system is very user friendly and straight forward from a user perspective.

The system is as good as you are creative.

AWESOME PRODUCT AWESOME PEOPLE

Our overall experience with Qualtrax has been wonderful! We have been users for over a decade and have watched this company evolve catering to our specific needs. Every issue has been resolved and done so in a very timely and ethical manner. The AHA site makes for a great and easy way to offer suggestions and also to receive support. Our company has had a ROI equivalent to 100's of thousands of dollars with the implementation of Qualtrax workflows. Qualtrax is a powerful tool for effectively maintaining a quality management system within your business. A few months ago the president visited our site here in northern Virginia just to check in on us. How awesome is that!!! As a customer it was very cool to see them take the time to visit our facility and see Qualtrax in action and address any concerns that we may have had. So again, our experience as a whole has been A++++!! Thanks Qualtrax for standing behind your product as well as you do!!

Sarah Atkinson Review

The implementation of EQMS to the department has been very successful. We have come across some issues, however the helpdesk have been very helpful with any problems. It is a very impressive system. The amount of documentation control paperwork has declined massively, and those members of the team have more capacity to work on other tasks.

Avantages

The system has had a positive impact on the department. The whole process to upload documentation is very easy, easy to train other staff members and has worked exceptionally well. Some of the reports such as 'out of date' documents has encouraged the team to update these document quickly. It is a good prompt to ensure we do not fall behind. The security and data integrity features are also good.

Inconvénients

. When saving a document detail or uploading a document, pop ups appears select 'yes' or 'cancel'. We feel this selection should be 'yes' or 'no'. Some of the reports and dashboard features do not fit our needs. We would have wanted to be able to drill down into different document owner groups, rather than a user. We have four areas Aseptics, Radiopharmacy, QA/QA and PMU document owners. It would be useful for our trending and MQRG reports if we could select one of these groups, rather than all the documents collated together.

Qualsys Experience

A positive experience with knowledgeable and helpful staff to help you through the implementation and problem solving.

Avantages

Inconvénients

Audits process is long winded and could be simplified by being able to raise on close on the app.

Modules are not interactive with each other and operate independently.

Essential Tool

I was handed the Qualtrax platform during my first days on the job and instructed to implement it across the laboratory branch system. The customer support was and is still incredible. The software effortlessly expands to meet our needs. The product development team is constantly adapting and improving the functionality of the system. One of the best gems of Qualtrax is the Users conference that even after 5 years of using the system, still allows me to expand my knowledge of the software.

Avantages

Electronic reminders for due date, revisions and document reviews.
Workflow module for tracking equipment, CAPAS, customer feedback and a multitude of other activities that are critical to lab management.

Inconvénients

The calendar feature on the dashboard has never been useful

Great software for quality management but low integration between modules

EQMS have help us strengthen our document control for both access and availability. It has also help us develop a strong issue management system with all the company involved.

Avantages

Document control is easy as well as issue manager and supplier manager. Easy to engage everybody in the company.

Inconvénients

Poor integration between modules. To link issues with suppliers may be slow. Spanish translations have improved but there is a long distance to a proper multilanguage platform.

EQMS System that does exactly what we want it do

The overall experience with EQMS has been exceptional. We as a company moved from a paper based Quality System to EQMS and straight away seen the benefits. The admin burden has declined and we have gained better control and visibility of our Quality System. This also enables us to focus on future projects knowing that we have a strong backbone in the form of EQMS.

Avantages

The most liked part of the system is the way that it has been designed by Qualsys. Very user friendly and easy to follow modules that serve the purpose. The EQMS system provides an excellent platform to enable the company to grow without the admin burden of managing documentation and training.

Qualys provides exceptional support throughout the implementation of all EQMS modules. Qualsys tailor the planning, configuration and testing to suit the company's requirements.

Inconvénients

The EQMS system has been great addition to our company's growth. hence we have not had any areas within the system that we disliked.

Qualtrax - Indispensable for Our Crime Lab

We used to spend so much time chasing paper, scanning, emailing, and storing documents on multiple places on our LAN. Qualtrax has largely eliminated this clerical work so our laboratory's Quality Assurance Unit can spend more time on continuous improvement. We have been using Qualtrax since 2013 and it has really improved communication and effectiveness of processes in our laboratory.

Avantages

Documents (and document review and approvals), trainings, and workflow processes are centralized, trackable, reportable, and viewable by the staff that need to see them.

Ease of use with an intuitive interface.

Cloud based system allows us to access our documents and workflows while in the field or telecommuting.

Multiple permissions allow for great flexibility with what users and user groups can and cannot access in the system.

They have the best support of any vendor I have ever worked with.

Inconvénients

Sometimes reports need to be exported to Excel to make them look better on a page, but that is because we are using Qualtrax to record a large amount of data and it is a really minor issue for us.

Overall, very positive. The business has staff in all departments who engage well with...

Avantages

The ability to configure the system is made very simple. Changes can be made by administrators with minimal effort which is invaluable to any business which is either growing or operates in a dynamic environment.
The software has constant releases either for fixes (which obviously everyone wants to avoid altogether) or for improvements. We have seen several iterations of a module in the space of a year which has helped how our users engage with the system.
On a similar note, I am impressed with how the company will make changes to the software upon request. Changes are reviewed and implemented in a timely fashion.

Inconvénients

Having to re-create successful pilot projects from UAT to the Live site is a frustration!
Whilst I have praised the configurability of the system I believe there are further improvements which could be made to enhance the software further.
The module nature of the software has meant some modules are behind others in terms of aesthetics and functionality (but I know this is something the business is working on).

Great software

This is housing all our certificates, training and actions. So far so good!

Avantages

A very easy business system to administer. I particularly like the Actions and Document Manager module.

Inconvénients

We needed a lot of customization to ensure the Training Manager module worked for us.

Medical Devices EQMS

Very happy overall with the document and issue manager modules utilised within EQMS. Have already had a product upgrade and the customer support from the rep is excellent.

Avantages

The software can be used across a variety of platforms.

Inconvénients

Some parts and functionality seem a bit dated but are aware that Qualsys are addressing this.

Quality Management System that works

Excellent! The customer service is the best I've ever had with any vendor and they always respond to my emails/calls very quickly.

I was in the middle of an assessment once and could not figure out a problem. I sent an S.O.S to Qualtrax and within minutes I got a phone call back and someone on the other end helping me.

Avantages

Implementing Qualtrax allowed my quality system to be paperless. Processes, sign-offs, authorizations, checks/balances, etc. can all be done through the system from cradle to grave without generating a single piece of paper.

Another great thing about Qualtrax is the flexibility of its licenses. As a business that does not generate revenue, it's not possible to get a copy of everything per user so the ability to switch the licenses around and allow them to be used when needed is extremely helpful from a budget standpoint.

Inconvénients

I am a needy customer who's knowledge and usage of the system is relatively advanced; so there are features that I would like the system to have to help facilitate my work as a Manager and Administrator. However, sometimes my "wishes" aren't in high demand by the rest of the community so I have to wait.

Qualtrax Review

Overall my experience has been a positive one. Our auditors are pleased, it is easy to use and convenient for keeping our many SOP's organized and controlled.

Avantages

Support is ALWAYS there to help! I have sent emails after business hours and they have responded promptly, pleasantly, and most importantly, informatively! I can't say enough how great the support team is.

Qualtrax works hard to keep everyone informed about their updates and new features. I have never met a team so helpful and up to date with the times. Their customer interference is beyond great, they are always happy to communicate and always respectful.

We've had many audits where our customer's have complimented us on our ability to quickly retrieve documents and provide proof of training, reviews, archives, drafts, etc. We have given all the credit to Qualtrax.

Inconvénients

It was difficult to keep up with the updates when it was the responsibility of our IT team, with how busy they are within our company. But Qualtrax has already solved this issue with the cloud sharing. Now they take care of all the updates for us!

Great system for more than just document management

Great experience, we are reducing our administrative load as well as succeeding in projects to reduce and simplify our processes. The services team are helpful and have a wealth of experience to share.

Some data is not shared across modules - which would be useful.

Review of EQMS

It has improved our training record documentation and makes it easier to access data during audits

Avantages

It met our requirements relating to various ISO standards i.e 14001, 9001 and IATF 16949 with respect to training and document control

Inconvénients

The lack of ability to transfer information from UAT site to live site meaning work has to be repeated

Hi Gerry, thank you for writing us a review. EQMS is a great tool for integrated management of ISO 9001, ISO 14001 and IATF 16949 so we're so delighted you're using it for this potential.
We are aware not being able to transfer data from the UAT to the live site can take a little longer. The UAT site is a very useful sandpit where you can test out processes without worrying about the impact on the main system. Our processes are designed to meet the highest global standards and regulations and data transfer of this nature could compromise the integrity and audit trails. Qualsys also provide a configuration service if you find there are lots of processes you would like to replicate on your live site.

Saturnus (EQMS) review

We are managing our customer complants much more efficiently. Both in correcting the issues and keeping our customers happy, whilst also implementing effective auditable preventative actions.

Avantages

The use of issue manager to drive any process (which dosent neccesserily need to be quality related) is brilliant. It speeds up and streamlines our process' whilst also tracking everything which is great when we are being audited. The audit manager module has saved hours of uploading pictures and typing up audits.

Inconvénients

The on screen apperance is a little dated and the apps are a bit clunky.

eQMS Software Reinvigorated Our Quality Compliance Processes!

We gave Qualsys an extremely short lead-time to embed Document Manager and Issue Manager - both deadlines were met in time which was HUGELY impressive. Customer support / service is impeccable.

Avantages

1) Easy to configure
2) Simple to use
3) Clever features (progress dashboards, document links etc)..
4) Document review reminders
5) Users can give feedback on controlled documents

Inconvénients

The reports are not configurable enough for our processes

EQMS is simple and effective. It is a nonsense free application that makes sense of managing...

Avantages

Simple to use, simple to set-up, simple to train and simple to administrate. Its very functional and configurable and is well supported by Qualsys. It is also delivers some considerable time savings in areas such as auditing and action management. The system automates many of the administrative tasks and provides some excellent real time reporting.

Inconvénients

Some of the modules somehow feel less superior to document management module. They are clearly well developed but it clear that the system began with document management and the evolved into other areas.

Flexibility allows adaptation for many uses

Qualtrax is helping us track our processes so that we don't drop the ball. We know where each project is and who is responsible. This helps with accountability. Also, it is helping reach a goal of becoming paperless. Many things we used to submit and track on paper is now on Qualtrax.

Avantages

The workflows are my favorite feature. They are simple to build and allow the organization to keep track of its processes. For us, knowing who is responsible is key for accountability and keeping things moving. They are simple to build using the workflow designer to create the framework and then the rest is drop down and check boxes. There is no requirement to know code, although they do allow the use of HTML to add functionality and style to the workflows.

Inconvénients

Reports only collect data from a single workflow. We have several workflows that are connected and generate other workflows. In order to get all of the information on a single related topic, an audit for example, you have to report on each of the individual types of workflows and collate the data.

Time needs to be devoted to learning

Avantages

I love that we were involved in the design of the product for our locations. Being involved also has made it easy to adapt the product over time as our needs change or we understand a function better.
It has worked great for us on documentation control and non-conformances.

Inconvénients

I least like the need for help in setting up some of the modules. While our Service Delivery Consultant was here we did not have enough time to set up audits, work on reports or learn about analysis. Being the administrator was only part of my job and I didn't have enough time after the consultant left to learn about these modules.

Rapid deployment and easy to implement

Mexichem needed a GxP compliant solution that was quick and easy to implement.

Avantages

Ease of implementation. Support from Qualsys staff during and after implementation. In particular, the structured process that Qualsys employ to ensure configuration is correct and meets all user requirements.

Inconvénients

The User Interface could do with updating in our version but I believe this has been captured in the new version.

Amazing Product

Often times after purchasing a software package you will not have contact with the company following initial training. Qualtrax is the opposite. They have amazing customer service. I believe other companies should take note of how Qualtrax interacts with their customer base. They are willing to sit down and really listen to our needs and determine how best to utilize their software. I would strongly recommend Qualtrax to any company in the market for a document control system.

Avantages

The best part of the software is the ability to track changes.

Inconvénients

In all honesty, there really is not anything I have been disappointed with following our purchase of the software in 2014.

High Quality QMS

EQMS supports our ISO9001 quality management processes, saves us time, and eases our communication with remote teams.

Avantages

We've been working with Qualsys and EQMS for four years. The core modules are mature and feature-rich, they enable us to streamline our processes and document management requirements. The apps save us many hours of manual effort each time we use them. There is also a healthy pipeline of new features and enhancements. Perhaps the biggest strength of the software is the commitment from the Qualsys team to the success of their customers. Highly recommended.

Inconvénients

The software has so many features and options that it can take a little while to set up, however the Qualsys team have offered us support to get this right for our implementations.

A great addition to Quality Control

Avantages

The audit trail that the product leaves for every issue, large and small, not only improves the process of completing audits, but also allows analysis and improvement of the company processes and procedures.

Inconvénients

The visual interface is not completely intuitive. Lots of nested folder structures, workflows and pop ups are difficult the navigate.

Using Qualtrax

They are a wonderful company to work with and I value my relationship with them.

Avantages

Very user friendly and easy to learn. The ability to clone workflows. The fact that they are constantly improving the software and factor their users needs and ideas into upgrades. Their technical and customer support is wonderful and I have really enjoyed getting to know the Qualtrax staff!

Inconvénients

Some of the features are still old and clunky. Printing option needs to be improved. I would like to see more cloning options, like for tests and trainings.

Qualsys EQMS & IQE

My overall view of Qualsys EQMS - it's all about the people, the team over in Sheffield are the most proactive I've worked with, they always have time for you, and always willing to help, even with the most basic of questions. Having implemented several other providers systems over the last 8 years Qualsys EQMS is by far the most stress free, it just works.

Avantages

The modular construction is really easy to help people understand specifically what the system can do. It's intuitive and easy to use.

Value, ease of use, and fast implementation

Positive and personable company to work with.

Avantages

The systems core functions work extremely well and are very intuitive. The path to implementation is much faster than comparable systems (we were live in 3-4 months from go). Moving from paper-based to electronic doc management and QMS has been highly valuable for our organization

Inconvénients

There are a few areas that don't have all the functionality we would use in our organization, such as spaces for making notes when doing gap analysis. None of these are major and most have workarounds. On a positive note, the focus on having the best "core" features as opposed to being a one-stop-shop is the better route in my opinion.

AMAZING Customer Service and Products

Avantages

This product has one of the most beautiful user interfaces for and I cannot wait to get it implemented in my company. The ease of use is apparent even from the login screen and the ease of building and maintaining workflows is a breeze and their applications make it that much easier and more effective.

The BEST part about this software is the extremely amazing customer service. If you need anything at all the entire company is right there with you to help you and to achieve what you need to achieve. The atmosphere with this company is homely and I would never think of using a different software for our lab.

Inconvénients

Sometimes the system can get bogged down with the amount of data, but after speaking with one of the software engineers they are looking into how they can solve this issue! Way to go Qualtrax!

Qualtrax Will Change How Work

Our experience with Qualtrax has been great. It has increased our efficiency in document management and employee training. Greatly decreased our audit preparation time due to efficient document management. It's been a game changer for us.

Software is very functional and user friendly. The Qualtrax team is always evaluating their product and increasing the functionality to meet customer needs.

There is nothing really to not like. Workflows are the most difficult part to learn but with a little practice, anyone can become an expert.

Helped us move from files and online folders to workflow managed processes

We have had a very good experience with Qualtrax, the on-boarding training was very thorough and helped us to understand not only how to set things up, but what might be good or better ways to set it up.

Avantages

The workflows make it very easy to manage a process that needs to be reviewed and have input from multiple sources without having additional meetings to get them resolved.

It has so many features and ways to do things that it can be a little overwhelming at first.

Qualtrax Review

We are using it to track laboratory workflow processes to comply with accreditation requirements as well as document control, revision, and distribution.

Avantages

The continual updates and support keep the application functioning smoothly. The features of the application support our needs, help the laboratory's efficiency, and significantly reduce time associated with report writing and laboratory audits.

The overall cost to maintain the application is my least favorite aspect.

Compliance Management Made Easy

Qualtrax has made managing ISO/IEC 17025 compliance of a muli-site crime laboratory system much easier through electronic approval and storage of documents and streamlining compliance management.

Avantages

Qualtrax allows me to manage accreditation compliance at the touch of a button. Processes that were paper-based are now electronic which allows much faster input and response from laboratory staff. Qualtrax's reporting functionality enables easy and intuitive data retrieval. Upgrades to the software are communicated clearly and, if needed, Qualtrax support is standing by to assist in your needs.

Inconvénients

Qualtrax is highly customizable which can seem intimidating to some users.

Qualtrax is awesome!

Qualtrax is an invaluable asset for maintaining our document control and process management. It allowed us to be better prepared for an audit to maintain our compliance within the environmental laboratory accreditation standards.

The Qualtrax Onsite Trainer was awesome and ensured that we were confident in using the software. He also helped us expand our tracking capabilities and elevate our compliance system from file cabinets and share drives to a high level, extremely organized compliance system that is all in one location.

I would highly recommend this software! Our GFSI auditors love the software ! Everyone we have worked with in a Qualtrax has been more than helpful and very knowledgeable of the software!

I come across many difficulties with the functionality of EQMS , i work with large documents which won't upload to the system.
I called customer support over a year ago and the problem is still not resolved.

Alameda County Sheriff's Office - Qualtrax Review

Avantages

The ease of use, document management, workflows, and most recently the hosted server. I've essentially converted the laboratory documentation from hard copies to all electronic. This has played a significant role in the success of our 17025 accreditation.

Inconvénients

I would say early on I did not care for the document compare module we purchased. Fortunately, we are no longer charged for it. I would like to see better customization of how the workflow reports are in Qualtrax. The ability to export them is nice, but if one were able to adjust column widths within the software that would be great.

Great for organization, great customer support!

Qualtrax is a great tool for organizing information, helps eliminate paper with workflows, and is easily accessible. And their customer support is absolutely wonderful. They are quick to respond and always able to help!

Avantages

I have been using Qualtrax for over 5 years and my favorite thing about it is the ability to easily organize a lot of stuff. We've found that having everything in one place really helps with keeping things up to date and quickly finding things.

Inconvénients

I really like all of Qualtrax, but if I had to pick one thing that I'd like to see improved, it would be to more easily set up email reminders, especially for workflows.

A 'one stop shop' for all of our Quality and Auditing requirements

My company has purchased the EQMS system and we have gone for a number of the modules including Training Manager and Audit Manager, which I use on a regular basis.

The system has made my job much easier and all my documents are now easy to access and easy to maintain. The training records are simple to review and update, the matrix review brings everything together in an easy to view format which can also be downloaded into Excel files.

The Audit Manager is easy to use, specific audit can be designed and these are carried out on a tablet, photos and other evidence are easy to collect during the audit. The download feature is excellent and saves valuable time when writing the final report.

The setting up takes a bit of time, but it's worth it and we have received excellent support from Qualsys throughout the setting up of the system.

EQMS Review

This softaware has enabled us to prepare and meet UKAS ISO 15189 standards. There is alot more that the system can offer its users and would recommend that users explore the full potential of the system. We currently only have a few of the modules available to us!

Additional modules need to purchased seperately i.e CAPA, Audit etc

Best Customer Service!

Qualtrax is a great company. We've been using them for over 6 years and it has been a great experience. I would highly recommend them.

Avantages

Qualtrax is completely customizable by the user. If you do have any questions/issues, Qualtrax's customer service is fantastic! You can call or email and they actually answer and work hard to resolve your issue.

Inconvénients

There are some glitches or hiccups you have to either work around or live with. However, they are constantly upgrading the software and take the user's feedback/needs into account with developing improvements.
