La fonctionnalité SmartIndex basée sur la capture visuelle de champs d'applications tierce est une bonne idée qui permet de gagner du temps, mais cela fonctionne mal dans le cas où les utilisateurs utilisent des résolutions d'écran disparates.

Avantages

L'outil est rapide à paramétrer : en quelques jours ou semaines, il possible d’automatiser/dématérialiser des processus de l'entreprise.

Il est simple et facile d'utilisation que ce soit pour les utilisateurs ou les administrateurs/paramétreurs.

Inconvénients

Le front office est un peu "Brut", il faudrait le remettre au goût du jour, avec un design plus attrayant.
Si l'interface était plus personnalisable, il ne serait pas nécessaire de récréer des portails par dessus (couleurs - logo de l'entreprise, ajout de boutons, d'infos-bulles, page d'accueil personnalisée par collaborateurs avec un récapitulatif de ces principaux processus et validations,ces derniers documents consultés...).

Certaines fonctionnalités ne peuvent être utilisées chez nous, car elles nécessites l'installation d'un client lourd... à l'ère du Cloud, il faudrait que la plateforme soit 100% online !

DocuWare makes all document management easier to manage, for example searching for documents, classifying and filing, it saves time by having this organized and when I need a document it is much easier to find and not waste a lot of time searching, and each document is secure

Inconvénients

There is nothing that I am dissatisfied with, I have only felt that it is a good platform for organizing files that has worked well

DocuWare is easy to configure and provides state-of-the-art functionality that improves data capture, utilization, integration, and distribution. Since DocuWare has an open design, I am able to create multiple very sophisticated connections that I can use in your daily work.

Inconvénients

If I had a magic wand, I would design a standardized entry point that collects these various forms of media and provides context-specific links to the complexities of frequently recognized categories.

Its a great centralized document repository that's multifunctional.

The intuitive interface makes it easy for employees at all technical levels to quickly adapt to the system. Searching for documents is a breeze thanks to the advanced OCR and indexing capabilities. We can find what we need in seconds rather than digging through physical files or unorganized network drives.

Inconvénients

I have no complaints about the Docuware system. When we needed to add capabilities that were not foreseen in our original deployment the support team was able to quickly update the program with no loss in productivity.

By utilizing DocuWare, I'm able to centralize all information, automate routine tasks, and facilitate remote work, empowering me to manage my employees effectively from any location and device with an internet connection.

We use Docuware on a daily basis to archive supplier invoices, start a workflow of approvals and finally integrate them into our ERP

It takes minutes to have all the invoices saved with the advantages of allowing you to find whatever you need from them.. Giving access to the account firm was very important to us too. We saved so much time !!!

The development of an interface between docuwar and our inventory and sales system took too long. Now I am thinking of changing it but I am worried about the time it will probably take.

What I liked the most about this amazing platform is the way it has completely simplified my professional life. Before discovering this platform, I was dealing with mountains of paperwork, complicated paperwork, and constant confusion. But now all that is a thing of the past!

Inconvénients

Due to the wide range of functions and features they offer, it can take a while to understand and get the most out of all the available tools. But once you get familiar with the platform and discover all the possibilities it offers, you realize that it is worth the initial effort.

Docuware is easy to use, reporting is easy to generate and the service is always very prompt.

Inconvénients

Once a file is archived, you cannot (in my experience) delete it out of the system if needed. It would be ideal if you could edit the documents in the inbox (add or rotate pages) however once the documents are uploaded they remain "as is". Also, I have done this many times and hit the save button too fast and then had to go back and find the file to re-name or enter because a field was not complete- in the system lets you save blank fields, so just be careful!

It is easy to use, you can export charts easily, you can make the categories how you want them to be, like permit number, address, you can set up as you need it.

sometimes its not easy to search if someone entered the information in lowercase or uppercase it may not show, the only thing that frustrates me is the searching of a document.

When it comes time to approve invoices, they are all in a queue and ready for me to stamp them as approved or reject. No need to go searching - it is a pretty simple process.

Inconvénients

When typing in search fields, the appropriate selection will eventually appear in a dropdown menu, and must be selected. If you type the search criteria with an exact match and press enter, you will not find what you are looking for unless you have also entered a wildcard search(*).

It's very easy to use and has a lot of cool functions that the older version did not have.

Trying to print it a bit of a hassle, which is confusing because it didn't used to be that way. I'm not sure why happened or why.

End-users typically have no trouble using the software and pick it up intuitively. Adding documents to the repository and retrieving them after is a breeze.

Inconvénients

As an administrator, I find the management interface to be convoluted and difficult. So convoluted, in fact, that if you don't work with the interface on a very frequent basis you will find yourself struggling to perform most configuration changes. Knowing where to change something -- even which interface to use to change something -- is difficult. Why is there an administration area that is not web-based, and then workflow management is web-based, etc.? All management functions should be in a common interface, with a common look and feel. That's simply not the case here.

Avantages

I like that it gives me a preview of the files before I open them. I also like that it stores everything in color and that I can store multiple things at once. It works well at keeping things neat and is simple to use.

Inconvénients

The search function is not very good. In order to get results when performing a search you have to search the name of the document exactly as it was recorded. This can be difficult when looking for something that you stored months ago.

Avantages

Once this system is set up to follow the approval / processing flow, the system is seamless. Nobody can forge a supervisor's approval. There are never any lost invoices as they all are scanned into Docuware and follow the pre-established process. We are more easily able to trace transactions do the source documents. Our auditors love it!

Inconvénients

You have to call support to have a new user set up or cancel the rights of a user. Also, if a user closes the software by clicking the "X" in the upper right hand corner vs. officially logging off, it locks up the license and blocks the ability for another person to log in.

Web based software. Works with almost any device. Complies with our strict security standards. The software is very flexible and easy to use.

Cost, It costs money and isn't free. But you get what you pay for. Seriously the software is an awesome buy.

It is an expensive investment and endeavor. Working out the all the tweaks can take some patience and time.
